Overview

Siberson Veriket Data Classification brings data security directly into the tools end users work with every day. Classification, labeling, and encryption are accessible from Windows Explorer, Microsoft Office applications, Pdf and any other types of files, and the system tray — without requiring the user to open a separate console or leave their workflow.

This guide walks through the end-user experience, from locating the classification controls to completing a full classification and sensitivity declaration.

Access Points

Siberson Veriket Data Classification surfaces its controls in three complementary locations, so the user can classify data at the most natural point of interaction.

1. Windows Explorer — Right-Click Context Menu

Right-clicking any file in Windows Explorer exposes two Veriket options under the Siberson menu:

  • Classify — assigns a sensitivity level directly to the selected file. Available levels are Critical, Top Secret, Secret, Internal, and Public.

  • Encryption — opens the Veriket File Encryption dialog for stronger, access-restricted protection.

A checkmark next to a level (for example, Internal) indicates the current classification of the file. This allows users to quickly reclassify documents without opening them.

2. Microsoft Office Ribbon

Inside Word, Excel, PowerPoint, and Outlook, Veriket adds a dedicated VERIKET group to the ribbon. The ribbon buttons reflect the currently applied classification and sensitivity context — for example:

  • Siberson — organization-level classification control

  • Secret (or the active classification level)

  • Contains Special Personnel Data (or the active sensitivity designation)

  • Language — toggles watermark language (English, Turkish, or both)

This approach keeps classification visible and editable throughout the document's authoring lifecycle.

3. System Tray

The Veriket agent runs in the system tray, providing status, quick access to settings, and visual confirmation that the classification service is active on the endpoint.

The Classification Workflow

When a user initiates classification — from the context menu or the Office ribbon — the Veriket Information Form opens. The form is organized into two tabs: Classification and Sensitivity.

Tab 1 — Classification

The Classification tab captures the business sensitivity of the document and the context in which it was detected.

Policy section. If Veriket's automated engine has detected sensitive content, the matching policy is displayed (for example, Credit Card / IBAN Policy), together with the specific keywords or patterns that triggered the match. This gives the user immediate insight into why classification is being requested.

Scope section. Allows the user to define the applicable scope of the classification — whether the document is intended for internal use, a specific department, a partner, or broader distribution.

Classification section. The user selects one of five sensitivity tiles:

Level Typical Use
Critical Highest sensitivity; strictly limited access and handling
Top Secret Data with the most restricted access inside the organization
Secret Data that may be less restrictive internally but remains confidential
Internal Proprietary information not intended for release outside the company
Public Publicly available data with no confidentiality requirements

Watermark language options. The user chooses the language of the visual watermark applied to the document: English, Turkish, or Turkish / English. This is particularly useful for organizations operating across multilingual environments.

Tab 2 — Sensitivity

The Sensitivity tab captures personal-data context and regulatory attributes, which are essential for KVKK and GDPR compliance.

Sensitivity section. The user declares whether the document:

  • Does not contain personal data

  • Contains personal data

  • Contains special personnel data (such as race, health, or biometric information — treated as a higher-risk category under data protection law)

Personal Data Types. When personal data is present, the user specifies the categories involved. Available types include Biometric Data, Contact Data, Family Data, Financial Data, Identity Data, and Legal Data. Multiple categories may be selected.

GDPR section. A short series of declarations captures the legal basis and handling rules for the document:

  • Has the person's explicit consent been received for this content?

  • Can this content be exported?

  • Data retention period is 7 years. If different, please select.

These fields produce a structured, per-document record that significantly strengthens the organization's compliance evidence.

Selecting Ok commits the classification and sensitivity metadata to the file.

File Encryption

For documents requiring protection beyond classification and watermarking, users can invoke Veriket File Encryption directly from the Explorer context menu. The encryption dialog offers three options:

  • Add Password — protects the file with a password that must be supplied before decryption

  • Delete Original File? — securely removes the unencrypted source after encryption completes

  • Add User — authorizes specific users to decrypt the file, supporting controlled collaboration scenarios

Selecting Encrypt File completes the operation; Cancel aborts without changes.

Visual Indicators on Classified Files

Once a file has been classified, Siberson Veriket Data Classification applies visible cues both inside and outside the document.

File icon overlay. In Windows Explorer, classified files display a small Veriket badge on the icon, providing an at-a-glance indication that the file carries persistent classification metadata.

Document watermarks. Headers, footers, and body watermarks appear inside the document according to the classification level and the selected language.

Metadata. The classification label, sensitivity declarations, and GDPR attributes are embedded in the file's metadata. They remain with the file as it moves across systems, users, and organizations — ensuring downstream enforcement tools, including Siberson Verikor DLP, can read and act on them.

Best Practices for End Users

  • Classify at creation. The most reliable point to classify a document is the moment it is first saved. The Office ribbon is designed to make this a one-click habit.

  • Respect the Detected Policy suggestions. When the Policy section surfaces a detected pattern (such as a credit card number or national ID), treat it as a strong signal that the document contains regulated data and classify accordingly.

  • Use encryption for external sharing. Classification and watermarks signal sensitivity, but they do not restrict access. For documents leaving the organization to untrusted recipients, combine classification with Veriket File Encryption.

  • Keep GDPR declarations accurate. The consent, export, and retention fields are not informational — they become part of the compliance record for the document and may be reviewed during audits.

  • Do not downgrade without justification. Reducing a file's classification level (for example, from Secret to Internal) should reflect a genuine change in sensitivity, not a convenience decision. Administrators may receive alerts on unusual downgrade patterns.

Frequently Asked Questions

Do I need to classify every file I create?

Your organization defines this policy. Veriket can be configured to require classification on save, to prompt the user, or to apply a default classification automatically.

What happens if I ignore the classification prompt?

Depending on organizational policy, the file may be saved with a default classification, or the save operation may be blocked until classification is provided.

Will my classification travel with the file if I send it outside the organization?

Yes. Classification metadata, watermarks, and visual markings are embedded in the file itself and remain attached regardless of destination.

Can I change a classification after applying it?

Yes, through the same context menu or Office ribbon. Changes are logged for audit purposes.

Does encryption replace classification?

No. Encryption and classification serve different purposes. Classification identifies what the data is; encryption restricts who can access it. They are most effective when used together on high-risk documents.
